How to build a basic personal budget in Google Sheets

Start by opening a new Google Sheet and giving it a clear name, such as Monthly Budget. The goal of this document is to provide a clear visual representation of how much money is coming into your accounts versus how much is leaving.

Begin by setting up your main transaction ledger. Create four columns labeled Date, Description, Category, and Amount. This layout ensures that every single transaction is documented with enough detail to be analyzed later.

Next, create a separate area or a new tab for your income. List all your monthly revenue sources, such as your primary salary and any side hustle earnings. Use the SUM function to total these amounts, which establishes your total spending limit for the month.

Define your expense categories to help organize your spending. Common categories include rent, groceries, utilities, transportation, and entertainment. Having a predefined list ensures you use the same terms every time you enter a transaction.

As you spend money throughout the month, record each transaction in your ledger. Be diligent about assigning a category to every expense, as this consistency is vital for the formulas you will use to track your totals.

To see how much you have spent in specific areas, use the SUMIF function. This formula allows the sheet to look through your category column and add up only the amounts associated with a specific label, such as groceries.

Create a final summary cell that subtracts your total expenses from your total income. This simple subtraction provides your net balance, showing you exactly how much you have saved or how much you have overspent.

Review your budget at the end of every month to identify trends and areas for improvement. Adjusting your category limits based on real-world data will help you build a more sustainable financial plan over time.
