To further automate the process, create a prompt template with variables. Design a master prompt where you only need to swap out the specific project name, the deadline, or the recipient's name. This allows you to maintain a consistent quality across all your correspondence while reducing the time spent typing instructions.

Iterative refinement is key to mastering this workflow. If the first draft is too wordy or misses a nuance, do not rewrite it yourself immediately. Instead, tell the AI exactly what to change, such as asking it to shorten the second paragraph or make the call to action more urgent.
