How to Set Up an Automated Monthly Budget in Google Sheets

Begin by opening a new Google Sheet and creating a primary tab for your transaction log. Set up four columns labeled Date, Description, Category, and Amount. This table will act as the database where every single expense is recorded throughout the month.

Create a second tab dedicated to your budget summary. In this sheet, list your spending categories in the first column and your planned budget limits in the second. This separate area allows you to keep your goals distinct from your daily spending entries.

To automate the tracking, use the SUMIF function in the summary tab. Write a formula that scans the category column of your transaction log and totals the amounts for each specific category. This ensures that every time you add an expense to your log, the summary updates instantly without manual calculation.

To simplify data entry, create a Google Form linked to your spreadsheet. Add fields for the amount and a dropdown menu for the categories. By using a form, you can input expenses from your mobile device on the go, and the data will automatically flow into your transaction log.

Implement conditional formatting in your summary tab to highlight overspending. Set a rule that turns a cell red if the actual total exceeds the planned budget amount. This provides an immediate visual warning when you are reaching your spending limits for a particular category.

Finally, manage your budget across different months by duplicating your sheet at the start of each new cycle. Alternatively, you can add a month column to your log and use a pivot table to summarize spending by month, allowing you to track long-term financial trends.
