How to Create an Automated Budget Tracker in Google Sheets

Start by creating a Google Sheet with two main tabs: one for raw transactions and one for the summary dashboard. In the transactions tab, create columns for date, description, category, and amount. This structure ensures that your data is organized and easy to reference for formulas.

To prevent typos and ensure consistency, use data validation for the category column. Create a separate list of spending categories such as housing, food, and entertainment. Set the category column in your transactions tab to use a dropdown menu based on this list, ensuring every entry fits into a predefined bucket.

In your summary tab, list your categories in one column and your monthly budget goals in the next. This serves as the baseline for your tracking. You will use this table to compare your planned spending against your actual expenditures in real time.

Use the SUMIF function to automatically pull data from the transactions tab into the summary table. By targeting the category column and summing the corresponding amounts, Google Sheets will instantly calculate how much you have spent in each category as you add new entries.

Add a simple formula to calculate the difference between your budget goal and the actual spend. You can use conditional formatting to highlight cells in red when you exceed your budget, providing an immediate visual warning of overspending.

To keep the tracker running smoothly, regularly import your bank statements via CSV or enter expenses manually. As you get more comfortable, you can add a date filter to the summary tab to track your spending by month or quarter.
