How to Create an Automated Budget Tracker in Google Sheets

Start by opening a new Google Sheet and creating two separate tabs. Label the first tab as Transactions and the second as Budget Summary. This separation ensures that your raw data remains organized while your high-level overview stays clean and easy to read.

In the Transactions tab, set up columns for Date, Description, Category, and Amount. To prevent typos that could break your formulas, use the Data Validation tool to create a dropdown menu for the Category column. List your common spending categories like Groceries, Rent, and Entertainment here.

Move to the Budget Summary tab and list your categories in one column alongside your monthly budget goals in the next. You will now create a column for Actual Spending, which is where the automation happens.

Use the SUMIF function in the Actual Spending column to automatically calculate totals. The formula should look at the category in your summary sheet, search for that same category in the Transactions tab, and sum all the corresponding amounts.

To make the tracker more intuitive, apply conditional formatting to the difference between your budget and actual spend. You can set a rule that turns the cell red if you exceed your limit and green if you remain under budget.

Finally, you can add a simple pie chart to visualize where your money is going each month. By linking the chart to your Budget Summary table, the visualization will update automatically every time you log a new transaction.
