How to Use AI for Effective Time Blocking in Google Calendar

Time blocking is a productivity method where you assign specific slots of time to individual tasks. While doing this manually can be tedious, integrating artificial intelligence allows you to automate the planning phase and optimize your daily flow.

Start by using a generative AI tool to break down your overarching goals into a granular list of actionable tasks. Instead of simply listing a project, ask the AI to estimate the duration of each sub-task based on your experience level and priority.

Once you have your task list, prompt the AI to organize these items into a daily schedule. You can specify your peak energy hours, such as requesting deep work blocks in the morning and administrative tasks in the afternoon.

To move these tasks into Google Calendar, you can use AI-powered scheduling assistants that sync directly with your account. These tools automatically slot tasks into available gaps and shift them if a meeting runs long.

If you prefer manual entry, simply copy the AI-generated schedule into your calendar. Ensure you leave small buffers between blocks to account for transitions and unexpected interruptions.

Finally, use AI to review your week at the end of every Friday. By feeding your completed tasks back into the AI, you can identify where your time estimates were off and refine your future blocking strategy.
