How to Create an Automated Monthly Budget Spreadsheet in Google Sheets

Start by creating a new Google Sheet and setting up three primary tabs: Transactions, Budget, and Summary. This organization keeps your raw data separate from your calculations, ensuring the sheet remains clean and manageable as you add more data over time.

In the Transactions tab, create columns for Date, Description, Category, and Amount. This is where you will log every expense and income item throughout the month, serving as the raw data source for all your automated calculations.

On the Budget tab, list your expected monthly spending categories in one column and your planned budget amounts in the next. To make data entry easier and prevent typos, use the Data Validation tool in the Transactions tab to create a dropdown menu based on this category list.

Use the SUMIF function on the Budget tab to automatically total expenses from the Transactions tab. By referencing the category name and the amount column, Google Sheets will instantly update your actual spending totals whenever you log a new transaction.

Add a Variance column to your Budget tab that subtracts the actual spending from the budgeted amount. This allows you to see at a glance where you are overspending or where you have a surplus for the month, helping you adjust your habits in real time.

Finally, create a Summary tab using simple formulas or a pivot table to visualize your total income versus total expenses. This high-level view provides a quick snapshot of your overall financial health without needing to sift through individual rows of data.
