How to Create a Monthly Budget in Google Sheets
Start by opening a new spreadsheet in Google Sheets and giving it a clear name, such as Monthly Budget 2024. Begin by setting up your basic structure by creating four columns labeled Item, Planned Amount, Actual Amount, and Difference. This layout allows you to compare what you intended to spend against what you actually spent.
Create an income section at the top of your sheet. List every source of money coming in, such as your primary salary, freelance work, or dividends. At the bottom of this list, use the SUM function to automatically calculate your total monthly income, which serves as the ceiling for your spending.
Below the income section, develop an expenses area. Divide this into fixed costs, like rent and insurance, and variable costs, such as groceries and entertainment. Listing these separately helps you identify which expenses are non-negotiable and where you have room to cut back.
To make the sheet functional, enter formulas in the Difference column. Subtract the actual amount spent from the planned amount for each line item. This will show you exactly how much you are over or under budget for every category in real time.
Calculate your final monthly balance by subtracting the total of all expenses from your total income. This figure tells you how much money is left over for savings, debt repayment, or future investments at the end of the month.
To enhance visibility, apply conditional formatting to the Difference column. Set a rule so that any negative number automatically turns red, alerting you immediately when a specific category has exceeded its budget.
Maintain your budget by updating the actual spending column weekly. Regularly reviewing these numbers ensures you stay mindful of your habits and allows you to adjust your planned amounts for the following month based on realistic data.
