Using AI Prompt Engineering to Automate Weekly Meeting Agendas

Weekly meetings often begin with the tedious task of gathering updates and drafting an agenda. Doing this manually takes significant time and often results in generic lists that lack a clear objective or focus. By applying basic prompt engineering, you can automate this process and ensure every meeting is purposeful.

Prompt engineering allows you to transform a general AI into a specialized administrative assistant. Rather than asking for a generic template, you provide the AI with a specific role and a set of goals. By telling the AI it is an expert project manager, you prime it to prioritize efficiency and outcome-oriented discussion points.

To build an effective prompt, start by defining the constraints. Specify the meeting duration, the intended goals, and the roles of the participants. For example, instruct the AI to allocate specific time slots for each topic and to categorize items as either information sharing or decision-making points.

Next, provide the AI with raw data to work from. Instead of relying on the AI to guess what needs to be discussed, copy and paste recent project milestones, outstanding tickets, or brief status updates from your team. This ensures the generated agenda is based on real-time data rather than assumptions.

Once you receive the first draft, use iterative prompting to refine the output. You can ask the AI to reorder the topics based on urgency or to draft specific questions for the team to consider before the meeting starts. This creates a more interactive and prepared environment for all attendees.

Finally, integrate this workflow into your weekly routine. Set a deadline for team updates, run those inputs through your optimized prompt, and distribute the resulting agenda twenty-four hours before the meeting. This system reduces administrative overhead and allows the team to focus on solving problems rather than organizing the conversation.
