How to Set Up an Automated Budget Tracker in Google Sheets

Start by opening a new Google Sheet and creating two distinct tabs. Name the first tab Transactions and the second tab Summary. This separation allows you to keep your raw data organized while maintaining a clean overview of your financial health in a separate space.

In the Transactions tab, create four columns labeled Date, Description, Category, and Amount. This will serve as the ledger where you record every expense. To ensure consistency, create a small list of categories like Housing, Food, and Transport in a separate area or a third tab.

Use the Data Validation tool on the Category column in your Transactions tab. Set the criteria to a dropdown list and select the categories you previously defined. This prevents typing errors and ensures that your automation formulas can accurately group your spending.

Move to the Summary tab and list your categories in the first column. In the adjacent column, you will enter the formula that does the heavy lifting. Use the SUMIF function, referencing the category column in your Transactions tab and summing the corresponding amounts.

By setting up the SUMIF formula correctly, your Summary tab will update in real time every time you add a new expense to the Transaction log. You no longer need to manually add up totals at the end of the month, as the sheet calculates the sums automatically.

To make your tracker more visual, highlight your summary data and insert a pie chart. This chart will dynamically shift as your spending habits change, giving you an immediate visual representation of where your money is going.

For easier data entry on the go, consider linking a Google Form to your spreadsheet. This allows you to input expenses from your phone, which then flow directly into the Transactions tab and update your budget totals instantly.
