How to Create an Automated Monthly Budget Tracker in Google Sheets

Start by creating a new Google Sheet and setting up your primary transaction log. Create four columns labeled Date, Description, Category, and Amount. This layout ensures that every expense you track is logged consistently, providing a clean dataset for your automated formulas to analyze.

Next, create a separate tab to serve as your budget overview. In this tab, list all your spending categories in one column and the monthly budget limit for each category in the next. This reference table will act as the control center where you can monitor your spending goals against actual costs.

To ensure data consistency, use the Data Validation tool on your transaction log. Highlight the Category column and set the criteria to a dropdown list based on the categories you defined in your overview tab. This prevents typos and ensures that your formulas can accurately group expenses.

Now you can automate the calculations using the SUMIF function in your overview tab. Create a column for Actual Spending and enter a formula that searches the transaction log for the specific category name and sums the corresponding amounts. This ensures the total updates automatically every time you add a new expense.

To visualize your remaining funds, add a final column for the Difference. Subtract the actual spending total from your budget limit for each category. This gives you an immediate view of whether you are under or over budget without needing to perform manual math.

To maintain your tracker, simply enter your daily transactions into the log throughout the month. Because the overview tab is linked via formulas, your budget status will update in real-time, allowing you to manage your finances with minimal effort.
