How to create an automated budget tracker using Google Sheets

To begin creating your automated budget tracker, open a new Google Sheet and create two separate tabs. Label the first tab Transactions and the second tab Summary. In the Transactions tab, create four column headers: Date, Description, Category, and Amount. This is where you will log every expense as it occurs.

To ensure your data remains consistent, set up a dropdown menu for the Category column. Select the cells in that column, go to the Data menu, and choose Data Validation. Create a dropdown list containing your primary spending categories, such as Rent, Groceries, Utilities, and Entertainment. This prevents typos from breaking your automated totals later.

Next, move to the Summary tab to build your dashboard. List your categories in the first column and enter your monthly budget goals in the second column. This gives you a clear target for your spending and a place to compare your goals against your actual expenditures.

Now you can automate the tracking using the SUMIF function. In the Summary tab, next to each category, enter a formula that sums the Amount column from the Transactions tab only if the Category column matches the category listed in that row. This ensures that every time you add a new expense, the summary updates instantly.

To make the tracker more intuitive, apply conditional formatting to your actual spending column. Set a rule that changes the cell color to red if the value exceeds your budget goal. This provides an immediate visual alert when you are overspending in a specific area.

To maintain your tracker, enter your expenses daily or import a CSV file from your bank account periodically. Because of the formulas you have implemented, you will never need to manually calculate your remaining balance, allowing you to focus on managing your money rather than managing a spreadsheet.
