How to Create an Automated Expense Tracker in Google Sheets

Start by creating a new Google Sheet and setting up your main data columns. You will need headers for Date, Description, Category, and Amount to ensure your financial data is organized consistently from the beginning.

To automate the data entry process, create a Google Form linked to your spreadsheet. This allows you to input expenses quickly from your phone or browser without opening the spreadsheet, pushing the data directly into a dedicated response tab.

Use a dropdown menu in the Google Form or data validation in the sheet for categories like Food, Rent, and Transport. This prevents typos and ensures that your automated summaries can accurately group and total your spending.

Create a separate sheet for your budget summary to keep your raw data separate from your analysis. Use the SUMIF function to total expenses based on specific categories, linking the summary sheet to the form response data.

Insert a pie chart or bar graph based on your summary table for better visualization. As new entries flow in from the form, the chart will update automatically, giving you a real-time visual representation of your spending habits.

Periodically review your entries to ensure accuracy and adjust your budget categories as your financial needs change. This simple system removes the friction of manual logging while providing professional-grade financial insights.
