How to Create an Automated Monthly Budget Tracker in Google Sheets

Start by opening a new Google Sheet and creating two separate tabs. Name the first tab Transactions and the second tab Summary. This structural split allows you to record daily spending in one place while viewing your overall financial health in another without cluttering your workspace.

In the Transactions tab, create four columns labeled Date, Description, Category, and Amount. To ensure the automation works, you must maintain consistent category names. Use the Data Validation tool to create a dropdown menu for the Category column, listing options like Housing, Food, Transport, and Entertainment.

Switch to the Summary tab and list your budget categories in the first column. In the second column, enter the monthly budget limit you have set for each category. This provides a static benchmark that you can compare against your actual spending in real time.

To automate the tracking, use the SUMIF function in the third column of your Summary tab. Write a formula that tells Google Sheets to look at the Category column in the Transactions tab and sum all amounts that match the specific category name in that row. This ensures that every single expense added to your log is instantly reflected in your total.

Enhance your tracker by applying conditional formatting to the actual spending column. Set a rule that turns the cell background red if the value exceeds the budgeted amount. This immediate visual feedback helps you identify overspending before the month ends.

To maintain this system long term, you can either duplicate the workbook for each new month or add a Date column to your summary logic using a SUMIFS formula. This allows you to scale your tracker into a full annual financial overview, helping you identify seasonal spending patterns and save more effectively.
