How to Create an Automated Monthly Budget in Google Sheets
Start by creating a basic structure on your first sheet. Set up two main sections: one for your projected income and another for your monthly expenses. For the expense section, create columns for the category name, the planned budget amount, and the actual amount spent.
To keep your main dashboard clean, create a second tab specifically for transaction logging. In this tab, set up columns for the date, the amount, and a category dropdown menu. This allows you to record every purchase as it happens without manually updating your summary sheet.
To automate the totals, use the SUMIF function in the actual spending column of your main sheet. This formula tells Google Sheets to look at your transaction log, find all entries matching a specific category, and add them together automatically.
Next, add a variance column to calculate the difference between your planned and actual spending. A simple subtraction formula will reveal whether you are under or over budget for each category, helping you identify where your money is going.
Enhance your sheet with conditional formatting to get instant visual feedback. Set a rule that turns a cell red if the actual spending exceeds the planned budget, which alerts you immediately when a specific category is overspent.
Once this system is in place, your only manual task is entering your daily expenses into the transaction log. The main budget page will update in real time, providing a dynamic and accurate view of your financial health throughout the month.
